Privacy Policy

Notice regarding the processing of personal data belonging to representatives of business partners or corporate clients.

1. Data controller

The data controller is S.C. MICOR LINK SERVICES S.R.L. (WhiteRide trade brand), a Romanian legal entity, tax code RO15066763, registered with the Trade Registry under no. J2002012564400, with headquarters in Bucharest, Str. Libelulei no. 9, postal code 013531, District 1.

2. What data we process

Within B2B relationships with business partners and corporate clients, we may process:

  • identification and contact data: full name, role, business phone number, professional e-mail;
  • signature data and information related to legal representation/authorization;
  • operational or contractual data that may indirectly identify a natural person;
  • vehicle access and CCTV security data, where applicable.

Failure to provide required data may affect contract negotiation, conclusion, or performance.

3. Processing purposes

  • concluding and performing service/collaboration contracts;
  • operational communication with partners and clients;
  • event registration and participation management;
  • premises access control and security of people/assets;
  • internal/external audit, legal compliance, litigation and enforcement management.

4. Legal bases

  • Art. 6(1)(b) GDPR - contract performance or pre-contractual steps;
  • Art. 6(1)(c) GDPR - compliance with legal obligations;
  • Art. 6(1)(f) GDPR - legitimate interests (security, operational continuity, contractual administration).

5. Data disclosure

Data may be shared with contracted IT/operational service providers and competent public authorities, strictly on a need-to-know basis and within legal limits. All processors are bound by confidentiality and security obligations.

6. Retention period

Data is retained for the duration of the contractual relationship and afterwards for the period required by applicable law, including accounting and tax obligations. As a general rule, supporting records are archived for 5 years starting on July 1 of the year following the financial year in which they were created, unless a different legal term applies.

7. Data security

We implement appropriate technical and organizational measures to protect personal data against loss, unauthorized access, misuse, or unlawful disclosure. Data is stored on controlled systems with restricted access for authorized staff only.

8. Data subject rights

Under GDPR, data subjects have rights to information, access, rectification, erasure (where applicable), restriction, objection, portability (where applicable), and the right to lodge a complaint with the Romanian DPA (ANSPDCP).

9. Special situations

If personal data is transferred outside the EU/EEA, we will implement adequate safeguards and inform data subjects accordingly. If we intend to process data for a new purpose, we will provide an additional notice before starting that processing.
